When you complete the contact form, email us, call us or apply for a role, we typically collect:

• name and job title
• business or organisation name
• email address and telephone number
• the details of your enquiry, project or application
• for job applications, your CV, covering note and any other information you choose to send

Information collected automatically

When you use the website we may collect technical and usage data, including IP address, browser type, device information, pages viewed, referring URL and approximate location derived from IP address. This is collected through cookies and similar technologies, including HubSpot tracking, as described below.

Information from other sources

If you contact us through a third party (for example a referral, recruitment platform or professional network), we may receive your name, contact details and relevant context from that source.

How we use your data

We use personal data to:

• respond to enquiries and start a conversation about our services

We use HubSpot to power the contact form and to understand how visitors use the site. HubSpot may set cookies such as:

Who we share data with

We share personal data only where needed to run the business:

• HubSpot — our CRM and form provider, which processes enquiry and website analytics data on our behalf. The forms on this site use HubSpot’s EU region.
• Hosting and IT providers — who store or transmit website and email data for us.
• Professional advisers — such as accountants or lawyers, where reasonably required.
• Regulators or law enforcement — if we are legally required to do so.

If we use a processor, they are only allowed to process data on our instructions and must keep it secure.

International transfers

Some providers (including HubSpot) may process data outside the UK. Where that happens, we rely on an appropriate safeguard, such as the UK International Data Transfer Addendum or adequacy regulations, so that your data remains protected.

How long we keep data

We keep personal data only for as long as we need it:

• website enquiries — usually up to 24 months after our last meaningful contact, unless a project or contract follows
• client and contract records — for the life of the relationship and then for as long as required for legal, tax and accounting purposes (typically six years)
• job applications — usually up to 12 months after the recruitment process ends, unless you join us or ask us to keep your details for future roles
• cookie and analytics data — according to the cookie lifetime set by the relevant tool

We may keep data for longer if we need it to deal with a dispute or to meet a legal obligation.

Your rights

You have the right to:

• access the personal data we hold about you
• ask us to correct inaccurate or incomplete data
• ask us to erase data in certain circumstances
• object to, or ask us to restrict, certain processing
• request data portability where the lawful basis is consent or contract and the processing is automated
• withdraw consent where we rely on it
• complain to the Information Commissioner’s Office (ICO)
